Problem
The business purchased custom database/accounting/payroll software from the US and wanted an employee trained to use the software. The training was to ensure that the employee could keep the software working properly and teach other employees to use the software. Initial obstacles included: working with the computer system to get the network and software up and running, and the software not running properly on the network.
Solutions
First, JN Software Consulting reviewed and learned the software. Next, they taught employees to use the database portion of the program to allow them to track client information, to use the pricing system to bill clients and to employ the timecard feature instead of manual timecards. Next, we ensured that the bookkeeper knew how to extract the information she needed from the program. The process also included working closely with the company taking care of the computer equipment and network to troubleshoot some of the problems with the software. In the end, we had an employee of the company that created the custom software come to the Animal Hospital from the US to troubleshoot the major issues of the program free of charge.
Outcome
The animal hospital was able to save money in bookkeeping costs because the bookkeeper simply extracts the information needed from the software program instead of manually inputting the information she needs from the accounting paperwork. The program now runs smoothly on the network, thereby saving time and computer support costs. Now the animal hospital has a complete current client database, billing system and accounting records due to the new custom software program which also enabled them to remove a large portion of paper records and obtain a complete backup of their system.
